The Whole Child’s is actively recruiting for a Receptionist, hours are 10:00am – 7:00pm Monday-Thursday, 8-5pm on Fridays.

STATEMENT OF PURPOSE:  The receptionist is the first line of contact to our clients, partners and donors and plays an important role in that contact’s first experience with The Whole Child.

SCOPE OF RESPONSIBILITY:  The receptionist will manage our central telephone and provides information on services and direction to callers and announcement of callers to proper office or location and reports to the Front Office/Senior Billing Manager.


  • Receives and relays incoming calls, or takes messages
  • Call and confirm appointments on a daily basis
  • Check in clients and notifies therapist
  • Canceling of client appointments- as needed
  • Schedules appointments for doctors and therapist
  • Maintains and prints schedules on a daily basis
  • Pull and file charts as needed
  • Organize progress notes and correspondence, etc. on a daily basis
  • Fax, photocopy, and shred as needed
  • Registers parents for Parenting Class and purchase of Parenting books
  • Accepts cash and checks in payment from clients and makes copies for data entry
  • Stamp, sort and distribute mail (incoming and outgoing) on a daily basis
  • Sends out releases as needed
  • Ascertains client intake information (e.g. UMDAP) on Access clients and keeps UMDAPS current
  • Operates POS and IS system to obtain Medi-Cal eligibility
  • Performs routine and complex clerical work
  • Performing as back-up when requests made by supervisory or administrative staff


  • High School Diploma or GED
  • One year or more previous experience as a receptionist
  • Computer scheduling system
  • Operation of Main telephone system
  • Knowledge of types of services offered to the public by TWC
  • Operate photocopier, fax machine and POS machine
  • Ability to read handwriting
  • Ability to communicate courteously and tactfully with the public, fellow employees, and supervisor
  • Ability to follow written and oral directions, given by supervisor and request for assistance when needed
  • Ability to follow established procedures with minimal training
  • Bilingual in English/Spanish required
